What enters the system / What leaves it
Privacy, in plain language.
Wolphbrain collects information to examine the question you bring us, arrange the work you request, and maintain a private engagement record. We do not sell personal information or use it for cross-context behavioral advertising.
This policy is an operational disclosure of Wolphbrain’s current practices. It should be reviewed periodically and whenever the service, vendors, or applicable law changes.
01 / Notice at collection
What we collect at the point of entry.
When you use the diagnostic, book a Sprint, create an account, enter an engagement, correspond with Wolphbrain, or make a payment, we may collect the categories described below. We use them to provide the requested service, maintain the record, communicate with you, protect the system, and comply with legal and accounting obligations.
You may choose not to provide information, but Wolphbrain may be unable to generate a read, book a session, open a client record, or complete a transaction without the information required for that step.
02 / Information collected
The record follows the work.
Diagnostic and interview information
Your written answers, skipped questions, response timing, stated goals, uncertainties, business or creative context, and the resulting diagnostic observations. Please do not submit secrets or sensitive personal information that Wolphbrain does not need to examine your question.
Identity and contact information
Your name, email address, organization, scheduling details, correspondence, and information you provide when requesting or receiving services.
Account and engagement information
Authentication identifiers, engagement records, activation and onboarding answers, documents and secure links you submit, proposals, acceptances, agreements, electronic signature records, milestones, time entries, deliverables, appointments, and the visible activity history for your work.
Payment information
Transaction status, amount, currency, invoice or subscription identifiers, and related accounting records. Stripe processes payment-card and bank information directly; Wolphbrain does not receive or store complete card or bank credentials.
Technical information
Necessary authentication cookies, request and security logs, device or browser information made available through ordinary web requests, source or campaign parameters, and records needed to detect errors, abuse, or unauthorized access.
03 / Use
Why the information is used.
- To conduct the adaptive diagnostic and generate an independent read.
- To book, prepare for, and conduct Wolphbrain sessions.
- To create and operate private client records.
- To prepare proposals, agreements, payments, milestones, and consulting deliverables.
- To send transactional messages and respond to correspondence.
- To secure, troubleshoot, improve, and audit the service.
- To meet legal, tax, accounting, dispute-resolution, and recordkeeping obligations.
Wolphbrain does not sell personal information and does not share it for cross-context behavioral advertising.
04 / Artificial intelligence
The machine assists. It does not make the commitment.
Wolphbrain uses artificial-intelligence services to phrase adaptive follow-up questions, extract themes and relevant language from answers, and help prepare internal or client-facing working material. Deterministic software—not the language model—controls the diagnostic scoring framework.
Relevant portions of your answers may be transmitted to an AI service provider for this processing. Wolphbrain configures provider-side response storage off where supported. Do not use the diagnostic for emergencies or as a substitute for legal, financial, medical, mental-health, or other licensed professional advice.
05 / Disclosure and service providers
Specialists operate parts of the room.
Wolphbrain may disclose information to service providers only as reasonably necessary for them to perform services on our behalf. Current categories include:
- Vercel for application hosting and delivery.
- Supabase for database, account authentication, private records, and private file storage.
- OpenAI for AI-assisted language processing.
- Cal.com for scheduling.
- Resend for transactional email and reply processing.
- Stripe for checkout, subscriptions, invoices, and payment processing.
Embedded or linked services may collect information under their own privacy notices. Wolphbrain may also disclose information when required by law, to protect rights or safety, in connection with a business reorganization, or with your direction or consent.
06 / Retention and security
Keep what serves the record. Remove what does not.
In-progress diagnostic answers saved in your browser are designed to expire after 24 hours. Server-side diagnostic, booking, correspondence, and engagement records are retained for as long as reasonably necessary to evaluate or provide the requested service, maintain the client relationship and record, resolve disputes, secure the service, and satisfy legal, tax, or accounting obligations. Different categories may therefore have different retention periods.
Wolphbrain uses administrative and technical safeguards appropriate to the nature of the information, including restricted administrative access, authenticated client records, and service-provider security controls. No method of storage or transmission is completely secure, and absolute security cannot be guaranteed.
07 / Choices and privacy rights
You can ask what the record holds.
Depending on where you live and applicable law, you may have rights to request access to, correction of, or deletion of personal information; receive information about its use and disclosure; or appeal or object to certain processing. California residents may also have rights to know, delete, correct, limit certain uses of sensitive personal information, opt out of sale or sharing, and receive equal service when exercising privacy rights.
Wolphbrain does not sell personal information or share it for cross-context behavioral advertising, so there is no sale or advertising-sharing opt-out required for our current practices. We do not knowingly discriminate against anyone for exercising a privacy right.
Send a request to Wolphbrain by email. Describe the request and the email address associated with the record. We may need to verify your identity before acting and may retain information where an exception or legal obligation applies. An authorized agent may submit a request where permitted by law, subject to verification of authority.
Cookies and browser signals
Wolphbrain uses cookies necessary for authentication and security. Scheduling and payment services may use their own necessary or preference cookies. Wolphbrain does not currently use cross-site behavioral advertising. Because there is no sale or advertising sharing to opt out of, browser Do Not Track or Global Privacy Control signals do not change the site’s current behavior.
Children
The service is intended for adults and business or professional use. Wolphbrain does not knowingly collect personal information from children under 13.
08 / Contact and changes
The address on the record.
Questions or privacy requests may be sent to Wolphbrain by email or at 251 S Lake Ave., Pasadena, CA 91101.
Wolphbrain may update this policy as the service or law changes. The effective date at the top identifies the current version. Material changes will be presented through the site or another appropriate channel.
